Montana State University is preparing to transition from Box to Microsoft cloud-storage platforms by March 2022. A vendor has been engaged to support the Box transition project and ensure successful data migrations.

MSU-Bozeman UIT has created informative & helpful web pages for the transition project with information on how to prepare, what to expect, and more. A few key points from the before the migration page

  • UIT does not recommend faculty, staff or students moving data from Box to OneDrive themselves.
  • Delete any files and folders in Box you do not need.
  • Review files/folders you are a collaborator on
    • remove yourself from ones you do not need to be on,
    • evaluate the files/folders you share and remove those who no longer need to be listed.
  • Determine what data is individual-shared data and what data is group-shared data.

MSU-Bozeman UIT is also hosting “Microsoft Monday Brown Bag Lunch & Learn” online sessions every Monday that are open to all MSU affiliated campuses.

  • October → OneDrive
  • November → SharePoint & Shared Document Libraries
  • December → Microsoft Teams

Box is a collaboration and file-sharing service for Montana State University-Northern students, faculty and staff. Box offers secure, content-rich, user-friendly, unlimited content sharing. Box allows content to be stored online, so it can be accessed, managed, and shared anytime, anywhere on any device. MSU-Northern shares MSU-Bozeman's instance of Box, and it is called "Montana State Box". 

All MSU-Northern faculty and staff have a Box accounts: Use your NetID and password to log in.

 Remember to Log out.  When you finish using Box, please log out to ensure your content remains secure. You can log out by clicking on your name in the upper right hand corner, then selecting Log Out.

Data Storage Guidelines

While Box provides secure storage space, you should not store Confidential information in Box. Examples of data that should  not  be stored on Box:

  • Data classified as Confidential
  • Social Security numbers
  • Bank account numbers
  • Credit card numbers
  • Drivers License numbers
  • Passport Visa numbers
  • Payroll ACH numbers
  • Research data subject to export controls

Other types of data that  can  be stored on Box:

  • Data classified as Public
  • Data classified as Restricted
  • Budget Information
  • Contracts
  • Course evaluations
  • Employee and student IDs/GIDs (even when combined with names)
  • Planning documents
  • Staff search committee notes
  • Student grades and records
 Note:  Files not appropriate for Box storage should be stored on Sulafat. Contact the Help Desk if you need to store Confidential data.
 Sync Warning!  It is very important that folders containing Restricted data are NOT synced to your computer as this creates a copy of the data on your local hard drive.
